Visa support letters

As part of the EMDS 2026 organising committee, we can provide a visa support letter.

We distinguish between two types of letters:

1. Letter of Invitation: This letter confirms that you will contribute to the conference, for example through an abstract, a poster or keynote presentation.

2. Confirmation of registration: This letter confirms that you are attending the conference as a participant.

Please note that both letters will only cover the official conference dates as mentioned on the conference website.

Eligibility for a Visa Support Letter To qualify for a visa support letter, you must:

• Have paid the conference registration fee via the official conference website.

• Provide a verifiable institutional email address (e.g., .edu, .org, .ac). Personal email addresses (e.g., Gmail, Yahoo or Hotmail) cannot be accepted.

To request a visa support letter, please send an email to conference@uva.nl with the required information as listed below.

Do not send a copy of your passport or ID.

For a Letter of Invitation (for contributors only):

• First name (as stated in passport)

• Last name (as stated in passport)

• Date of birth

• Title of contribution o Contribution ID (if applicable)

• Whether the organization committee will cover any costs during your stay (e.g., flight, food, accommodation)

For a Confirmation of Registration (for attendees):

• First name (as stated in passport)

• Last name (as stated in passport)

• Date of birth

Important Visa Application Guidelines

• EMDS 2026 cannot guarantee visa approval or processing times.

• You are solely responsible for submitting your visa application on time with complete documentation.

• If a visa is not obtained on time, refunds will be subject to our official cancellation policy.
